After-sales planning for African tractor dealers

A tractor order should include a plan for what happens after delivery. Dealers can reduce avoidable delays by agreeing identification, documentation and service responsibilities before the machines leave the supplier.

Create one record for each machine

Record the model, drive version, chassis or frame number and engine number exactly as shown on the machine and its documents. Keep dated photographs of the identification plates, installed components and supplied equipment. Do not use another tractor’s number as a substitute when a document is incomplete.

Give each machine record a reference your sales, stores and service teams can all use. Link the quotation, packing list, inspection notes and customer handover to that record. This makes later questions easier to trace without relying on a general model nickname.

Match parts by confirmed references

Ask for the parts catalogue or applicable references for the supplied production version. A familiar tractor model name does not establish that two filters, clutches or hydraulic components are interchangeable. Send clear component photographs, dimensions where requested and the identification record to the parts supplier.

Build an initial spares list from the applicable service schedule, expected use and locally available support. Separate routine consumables from wear parts and items needed only for a specific repair. Confirm storage requirements and replenishment lead times instead of promising a universal spare-parts kit.

Prepare the customer handover

Explain what equipment is included and record anything outstanding. Supply the applicable operator documentation, service information and contact route. Ask the customer to identify their regular operator and the person who will keep the usage and service record.

A handover signature should describe what was checked and delivered; it should not conceal an unresolved issue. Refer technical operation, adjustment and repair to the manufacturer’s instructions and a qualified technician.

Keep support information current
