A handover pack gives the customer a reliable reference after the sales conversation ends. It should describe the actual equipment supplied and identify where to obtain further information. Prepare it from the final order record rather than assembling unrelated brochures on delivery day.
Connect the documents to one unit
Place the confirmed model, variant and unit identification at the front of the pack. Include the order reference and an itemised list of supplied accessories. For multi-unit deliveries, make a separate record for each tractor so parts and photographs are not assigned to the wrong machine.
Keep private invoices and personal information within the customer’s appropriate communication channel. A public gallery is not the place to store the complete transaction file.
Include documents the customer can use
- Relevant tractor and implement manuals, with model coverage checked.
- A record of the supplied equipment and any loose items.
- The inspection or handover record actually completed.
- The agreed support contacts and process for reporting an issue.
- The applicable written commercial and warranty terms, where provided.
Do not add promises that were never part of the offer. Generic statements about nationwide service or universal warranty coverage can create confusion when the actual support arrangement is narrower.
Close outstanding items explicitly
List any document, accessory or clarification still due, together with the person responsible for resolving it. Give the customer a copy of the same list used by the dealer. This is clearer than treating the delivery as fully complete while separate items remain under discussion.
Ask the customer to confirm receipt of the pack and the relevant contact route. Receipt of documents should not be described as proof of operator competence or technical commissioning. Arrange the appropriate training and qualified checks for the supplied equipment as a separate, recorded part of the handover.
